Job Description

A growing design and manufacturing firm specializing in sustainable structures is looking to appoint a Procurement Administrator to support efficient, cost-effective purchasing and vendor management across local and international projects.

The successful candidate will ensure smooth coordination of procurement activities, from supplier onboarding and price negotiation to inventory tracking and purchase order processing. Working closely with the supply chain manager, project managers, and finance team, this role plays a key part in maintaining reliable, timely, and compliant supply channels to support production and operational needs.

Key Responsibilities

Procurement & Purchasing Operations

  • Manage the daily execution of procurement tasks, including issuing purchase orders, updating ERP systems, and maintaining accurate order tracking reports.

  • Source products and services that align with project specifications, timelines, and regulatory requirements.

  • Ensure compliance with approved internal procurement processes at all stages of purchasing.

  • Collaborate with project managers and operations to forecast material and service requirements.

  • Monitor procurement performance against project timelines and budget constraints.

Vendor & Supplier Management

  • Maintain and update the preferred supplier list, evaluating vendor performance against KPIs and service level agreements.

  • Support onboarding of new vendors, including documentation submission and credit application follow-ups.

  • Review and adjust supplier credit limits in accordance with purchase volumes.

  • Build relationships with existing vendors and identify new sourcing opportunities for cost and service improvements.

  • Conduct business reviews with key suppliers to mitigate risk and optimize terms.

Strategic Procurement & Continuous Improvement

  • Contribute to procurement strategy development to secure competitive pricing, quality, and delivery lead times.

  • Benchmark supplier pricing and procurement trends to identify opportunities for savings and process enhancements.

  • Support the creation and enforcement of formalized procurement policies, procedures, and reporting structures.

  • Assist in reviewing contracts and ensuring supplier agreements are up to date and aligned with company standards.

  • Support change control and supplier development initiatives as needed.

Financial & Reporting Support

  • Request quotes and reconcile supplier invoices and 30-day accounts.

  • Monitor external market trends, inflation, and pricing shifts to inform procurement decisions.

  • Assist with financial reporting, including cost-tracking and procurement performance analytics.

  • Maintain procurement documentation and reporting mechanisms to ensure transparency and audit-readiness.

Requirements

  • Minimum Education: Matric

  • 1–3 years of experience in procurement, logistics, or supply chain coordination

  • Strong working knowledge of purchasing processes and vendor administration

  • Computer literacy: Intermediate Excel skills essential; familiarity with procurement or ERP systems (e.g., Smartsuite) is a plus

  • Ability to manage multiple tasks in a fast-paced, deadline-driven environment

  • Clear communication, negotiation, and organizational skills

  • Detail-oriented with a proactive and solution-driven approach
